3DDX is searching for a dedicated and detail-oriented CEO Executive Assistant/Personal Assistant with a very strong work ethic.

This position is responsible for all business and personal related duties as delegated by the CEO. This position will primarily provide comprehensive assistance to the CEO so he may focus on his primary responsibilities and maximize his time and effectiveness. 3DDX offers highly competitive compensation based on experience, talent, skill, knowledge, proven capabilities, and potential capabilities.

 

Responsibilities:

Support the CEO by providing a level assistance to meet the needs of the CEO’s personal or business objectives, including and not limited to:  

• Having a comprehensive updated to do list at all times

• Making sure significant email correspondences reach the CEO in a timely fashion

• Setting up meetings and managing appointments  

• Transcribe correspondence from handwritten notes

• Manage communications in a timely fashion and update the CEO routinely about the progress of those communications.

• Liaise with business coworkers/vendors and the CEO’s personal connections on behalf of the CEO and sometime as the CEO.

• Able to identify matters and topics that would concern the CEO and reporting such matters to the CEO

• Reroute requests/communications coming to the CEO office to the respective personnel responsible for such requests/communications

• Perform variety of office and personal errands

• Conducting ad-hoc research

• Arranging complex and detailed travel plans and visa arrangements

• Supporting our Boston office personnel management processes

• Undertake a range of Governance duties

• Settle select bills without disrupting cash flow

• Organize and keep records of the CEOs personal information such as contracts, passports, credentials, and travel history.  

Qualifications:

• Demonstrate highest level of ethics and ability to maintain confidentiality at all times with all situations and documentation.

• Be flexible and willing to work extra time during busy times and on call during weekends and outside business hours.

• PA diploma or certification is a plus.

• +5 years of experience as a personal assistant.

• Familiarity with the company, its personnel and processes is a plus.

• Flexibility and adaptability.

• Excellent self-management, time management and research skills.

• Excellent communication skills.  

• Extremely detail oriented.

• Ensure accuracy and quality across all tasks.

• Excellent people skills.

• Must demonstrate a can-do attitude.
